1. Who we are
This website is operated by Polarity Compliance ("Polarity", "we", "us" or "our"). We are the data controller responsible for the personal data described in this policy.

2. The personal data we collect
We only collect the personal data we need to respond to your enquiry and carry out our electrical inspection, testing and installation services. Depending on how you contact us, this may include:
- Contact details — your name, company or agency name, email address and telephone number.
- Property details — the postcode, type of property and the service you require, together with any information you choose to add in the message box.
- Correspondence — records of the emails, calls and messages exchanged with you.
- Service records — where we carry out work for you, the certificates, reports, observations and photographs we produce, and details needed for invoicing and payment.
- Technical data — limited information provided by your browser, such as your IP address and pages visited, handled as described in our Cookie Policy.
We do not intentionally collect special category data (such as health information) and ask that you do not send it to us through the website form.
3. How and why we use your data
We use your personal data for the following purposes, using a lawful basis under the UK GDPR, the Data Protection Act 2018 and those laws as amended by the Data (Use and Access) Act 2025:
- To respond to your enquiry and provide a quote — on the basis of taking steps at your request prior to entering into a contract.
- To deliver our services and produce certificates — on the basis of performing our contract with you.
- To meet our legal and regulatory obligations — for example retaining electrical certification and tax records — on the basis of compliance with a legal obligation.
- To operate, secure and improve our website and business — on the basis of our legitimate interests, provided these are not overridden by your rights.
4. Marketing
We will only send you marketing communications where you have asked us to, or where we are otherwise permitted by law to contact existing customers about similar services. You can ask us to stop at any time by emailing hello@polaritycompliance.co.uk or using the unsubscribe link in any email.
5. Who we share it with
We do not sell your personal data, and we never share it for third-party marketing. We share it only where necessary with:
- trusted service providers who help us operate — for example our website host (Netlify), email provider and accounting software — who act on our instructions;
- accreditation and regulatory bodies (such as NICEIC) where required for scheme membership and certificate registration;
- professional advisers, insurers or authorities where we are legally required or permitted to do so.
6. International transfers
Some of our providers may process data outside the UK. Where they do, we use an appropriate UK transfer mechanism where required, such as UK adequacy regulations, the UK International Data Transfer Agreement or the UK Addendum to approved standard contractual clauses.
7. How long we keep it
We keep enquiry data for up to 24 months where it does not lead to a booking. Where we carry out work, we retain service and certification records for the periods required by our accreditation scheme, insurers and by law (certification and job records are retained for the period reasonably needed for safety, contractual, insurance and scheme requirements, while financial records are normally kept for six years). We then securely delete or anonymise it.
8. Your rights
Under UK data protection law you have the right to: access a copy of your data; have inaccurate data corrected; ask us to erase it or restrict its use; object to processing based on legitimate interests; and request portability of data you provided to us. 9. How to complain
We would always prefer to resolve any concern directly, so please contact us first. You also have the right to complain to the Information Commissioner's Office at ico.org.uk, or by calling 0303 123 1113.
10. How we protect your data
The website is served over HTTPS, and form submissions are handled securely by our hosting provider. We limit access to personal data to staff who need it, and keep our systems and practices under review.
11. Changes to this policy
We may update this policy from time to time. The date at the top shows when it was last revised; where changes are significant we will make this clear on the website.
